Plans are Being Made: Advice Needed

So, we're off to the UK again this summer. DH needs to help clear up his parents' house, and it looks like DD's BFF will be joining us. I've just booked a cottage via airbnb, and we'll spend another week between London and someplace else.

I'm trying to figure out what to do about costs and could use your sage advice. The BFF's parents will pay airfare, but the usual cottage/car costs should be all ours. Should I just tell her parents to figure money for meals out? We may end up with two hotel rooms in London, and she'll need cash for tourist-y things. Any advice?

I will also have them buy travel insurance, and I guess we'll get a notarized letter etc from her parents authorizing travel.

    Definitely. This is a trip overseas, they can't just expect to pay for her flight. She needs spending money.

    If I were the parent of the BFF, I definitely wouldn't expect you to pay for all food. I would want you to be clear on what you are willing to pay. And if you are going to do touristy things it might be helpful for them to know which of those have admission and how much it is, although I also wouldn't expect you to know all the things you expect to do. Hope that is helpful!

    Look at the fine print on your daughter's passport-- it tells what you need in the letter if you are not the parent. Maybe the letter also needs to okay you to authorize any medical trips.( If you have it, you won't need it, I hope. )

    I was going to mention it, but Carol beat me to it. I think you will need to have something to authorize any medical services in case something happens or there is an illness that needs treatment.

    Money wise, it would be prudent to talk to the parents to see what they expect their child to pay for while with you. Or perhaps you can make a list of possible expenditures ahead of time and discuss them with the parents so you aren't left in the lurch and expected to pay for everything. Otherwise there might be some hard feelings if you are expected to pay for everything other than air fare.

    Talk to them and see what they were thinking. Come up with what you think is fair before the conversation then feel comfortable asking. They may end up offering more than you expect.
